How document management improves your advancement CRM solution

Customer relationships management (CRM) tools have become the norm in advancement operations at many colleges and universities. Schools have invested largely in these systems and have become accustomed to creating digital alumni and donor records.

But there are gaps. For example, what do schools do with all of the correspondence letters, news articles, email messages, gift agreements and more? They often end up in file folders spread out all over.

Advancement leaders are looking to better leverage their CRM solutions and explore the analytics, cloud and reporting capabilities of these systems. As a result, some vendor shifting has occurred. A notable 32 percent of respondents are planning to convert CRMs in the next two years, according to a recent Eduventures survey.

Schools are making the change for three main needs: reporting, major gift prospect management and intuitive user interfaces.

Fill your CRM data voids

Recently, Higher education research firm Eduventures, Inc. hosted a webinar to investigate how enterprise content management (ECM) platforms help fill the void between what CRM tools currently offer and what capabilities schools need.

How can colleges and universities unite the information in CRM tools and the content associated with alumni records, whether it be on paper or electronic? How can schools provide better reporting, gift prospect management and a more intuitive interface?

The solution to these questions might be easier than you think. Maybe you don’t need to make another large investment in another CRM. Maybe augmenting these systems with enterprise content management solutions is the easy fix.

Working with Melissa Kellenberger, higher education solution engineering manager at Hyland, creator of OnBase, we demonstrated how you can quickly and easily attribute content to alumni and access it from within your CRM. Advancement officers can also automate gift processing by quickly and easily adding information and content directly from Microsoft Outlook.

And reporting is a breeze with a more complete digital donor record.

Make a simple, seamless switch

If you like the sound of it, but you’re still switching to a new CRM because you don’t like the interface, here’s the good news – you can make a seamless switch to a new CRM with all of the corresponding content.
