Integrating with Microsoft Outlook, making work easier

I’ve been living the Hyland dream for 12 years, so more than a quarter of my life. (And what an incredible ride it’s been.) I started in August of 2005, and there were roughly 400 employees. I missed the 5,000th customer celebration by about a week.

But that’s ok, I’ll be around for 50,000 th. Now that will be a party.

When Hyland hired me as a Product Evangelist, my sole responsibility was to translate technology into business value—by any means necessary. My first assignment was to spread the good word about our Microsoft Outlook integration.

Although I was new to OnBase, Outlook, I knew. Turns out I wasn’t alone. Our customers felt the same. Users were already “living” in Microsoft Outlook, so why not just let them stay there?

Ease the transition to new software. Minimize training. It was a no brainer.

The integration was basic: import emails/attachments into OnBase, search for documents, make decisions as part of workflow processes and attach files from OnBase to emails. Yet it was extremely powerful because users never had to leave Outlook to get their most important work done.

Outlook is an OnBase client

In 2010, the OnBase Integration for Outlook got an extreme makeover. It was no longer just an “integration,” but a full-featured OnBase client, boasting 80 percent functionality of the other major OnBase interfaces. Not only was the feature set greatly enhanced, but the architecture and interface were too.

Because the infrastructure was shared with that of our Unity (pun intended) platform, development efforts were eased and we added new enhancements faster than ever before. Then, in 2013, analyst firm Gartner gave our integration a nod.

“With OnBase 12 and the newly released OnBase 13, deep integration with Microsoft Outlook is a capability,” Gartner said.

And that was more than four years ago. We’ve added loads of features since then!

Evangelists don’t just talk about software, we use it too

Being a user was the tipping point for me. As much as I love OnBase, I’m just in Outlook more. It’s the one application I have open all day, every day.

Thanks to our integration, if I receive an email with a question, which I can answer in OnBase, I never have to leave Outlook to research and respond. Any items that require my approval—or forms I may need to submit—I can complete those from Outlook too. Even our company policies, all stored in OnBase, can be acknowledged and referenced directly from Outlook.

Here at Hyland, we bring the software users need to get their jobs done to the interface they use most often. Imagine a Google-like full-text search of enterprise content, directly from Outlook. Definitely a game changer—and we’ve been doing it for years.

I look back and think … how lucky this life of mine is. Software that solves business problems in a way that just makes sense. And I get paid to talk about it!
