Happy birthday, ShareBase: 4 secure file sharing lessons learned


Our cloud-based secure file sharing product is growing up before our eyes. It’s hard to believe it, but this month, ShareBase by Hyland turns one-year-old. And as all new parents know, a lot can happen in a year.

This is especially true of an enterprise, cloud-based application with an innovative, eager development team that delivers monthly enhancements and constantly adds new features to its repertoire. Check out this infographic to view the major milestones during the first year in the life of OnBase.

In fact, in just one year, the number of organizations using ShareBase is at 170+ and growing. Businesses across six industries and around the globe (with support for ShareBase in Hyland Cloud data centers on four continents) are finding value in the ability to share without impair. Three ShareBase client interfaces – web, desktop and mobile app – provide file access and sharing capabilities while in the office or on-the-go. And there is now over one terabyte of data stored as part of ShareBase deployments.

Birthdays are a great time for reflection. So here goes. What are some things we learned over the past year?

1. Faster is better

One of the benefits of designing ShareBase as a cloud-based application on our own cloud platform? A continuous development and deployment model. A faster development cycle means faster enhancements into the hands of users – from user experience improvements to administrative enhancements – without traditional upgrade challenges.

This also gives us the opportunity to rapidly respond to feedback and add new features and functionality that equip organizations to better solve business challenges.

2. Sharing is for everyone

Every organization we talk to has a need to share – from large enterprises to small businesses to every company in between, regardless of industry. Feel free to test this idea out.

For example, the next time you’re sitting on a bus, waiting in line at the coffee shop, or networking at a conference, ask the question: Do you have a need to share information? Though the type of information and recipient might differ, the answer will always be a resounding “yes.”

3. Expect the unexpected

In addition to sharing files both internally and externally, organizations are finding unexpected value using ShareBase in some creative ways. This includes using the desktop sync feature to clean up cluttered desktops, migrating files from one computer to another and leveraging the application to share documentation with employees out in the field.

We can’t wait to discover what the next innovative use case will be!

4. A corporate sharing standard is still not the norm

In fact, 65 percent of organizations still don’t have some level of sanctioned cloud-based sharing standards in place, according to AIIM. If you’re one of them, 2017 is the year to re-examine your file and document-sharing strategy.

Public sharing tools, inefficient emails and out-of-control network shares don’t have to be the compromise. It is entirely possible to reset your corporate standard for safe, secure file sharing – both internally across your wider enterprise and externally with customers, clients, vendors, agents, constituents, students and other stakeholders.
